Submission by an employer of a benefit application and supporting documents to the competent regional social security administration

Main information

As an employer, in addition to dealing with sick leave, you are required to receive applications from your employees in the form of notifications and other supporting documents necessary to establish their entitlement to and payment of benefits. You are also required to forward these applications and supporting documents promptly, together with information needed to calculate the benefits, to the regional social security administration electronically using the prescribed form, at least in the form of a copy, via the data box. The information used to calculate the benefits must then be sent electronically to the address designated by the regional social security administration.

  • If the application concerns a maternity benefit, you must submit the supporting documents for this benefit to the regional social security administration immediately after receiving them from the employee.
  • If the application concerns a paternity benefit, you must forward it to the regional social security administration immediately after the expiry of the support period, which is two weeks.
  • If the application concerns an attendance allowance, you must submit it after the expiry of the support period (nine calendar days, or 16 calendar days in the case of a single employee who has at least one child under the age of 16 in their permanent care who has not completed compulsory schooling) or after confirmation is given that the need to provide care remains in place.
  • If the application concerns a long-term attendance allowance, you must submit the supporting documents for this benefit to the regional social security administration immediately after receiving them from an employee.
  • The information required to determine the amount of the compensatory benefit for pregnancy and maternity cases must be submitted no later than on the next working day after the day designated for the payment of wages and salaries, for any calendar months in which at least part of the transfer has taken place.
  • As an employer, you are also required to take receipt of the supporting documents necessary to determine entitlement to sick leave and payment of sickness benefits. You must forward these, together with the information necessary to calculate sickness benefits, to the regional social security administration.
As an employer, you are required to notify immediately anything that may affect the payment of benefits to the district social security administration.
If deductions from an employee’s wage have been ordered to enforce an official decision, you are required to forward, together with the information necessary to calculate benefits, the necessary documents for deductions to be made from sickness insurance benefits to the regional social security administration.
If demonstrably objective technical reasons prevent you from fulfilling your obligations electronically in the specified cases, you may do so in writing (on paper) by filling in the prescribed form and sending it to the address designated by the regional social security administration; however, you must state why you opted to proceed in this way.

You must sign the application in a manner that has the same legal effect as a handwritten signature and send it via the Data Box Information System to the data box of the locally competent District Social Security Administration / Prague Social Security Administration / Brno Municipal Social Security Administration.

Alternatively, applications may be emailed to the electronic address of the District Social Security Administration / Prague Social Security Administration / Brno Municipal Social Security Administration, using a recognised electronic signature issued by a trusted service provider in the Czech Republic.

Failure to comply with the statutory obligations relating to the receipt and forwarding of benefit applications constitutes an offence for which you, as an employer, may be fined up to CZK 50 000.
